Define columns clearly

Use a documented column layout with one meaning per field. Do not rely on staff remembering that a generic 'provider' column means rendering in one file and billing in another.

Validate formats

Dates, NPIs, diagnosis pointers, POS codes, procedure codes, charges, and units need appropriate formatting and content checks.

Review imported claims

Spot-check imported records and preview the claim form. Import success only means the file was read; it does not prove the claim is billable.

Protect source files

Store spreadsheets containing patient information according to the office's privacy and security procedures.

Import-control checklist

• Define required columns, data types, date formats, and identifier formats before importing a production file.
• Test with a small sample that includes blanks, long text, leading zeros, and multiple service lines.
• Review imported claims inside the claim software; a successful import does not prove the source data is correct.

Preserve identifiers and leading zeros

Spreadsheet imports can silently alter data when a column is treated as a number instead of text. Member IDs, ZIP codes, account numbers, provider identifiers, or codes can lose leading zeros or be displayed in scientific notation. Define the import format before staff build the spreadsheet, and test representative values so the imported claim matches the source file exactly.
